Chasing RSVPs without becoming a nag

People do not fail to RSVP because they are rude. They fail because replying requires opening a drawer, finding a card, finding a stamp, and knowing whether they can get the Friday off. Every one of those is a place to give up.

Set the deadline earlier than you need it

Your caterer wants final numbers a week or two before the day. Set your RSVP deadline three to four weeks before, not one. The gap is not padding. It is the chase window, and you will use all of it.

The sequence that works

One week before the deadline. A soft, general nudge to everyone outstanding. Not a warning, a reminder that the deadline exists.

The day after the deadline. Individual messages, not a broadcast. A group email to non-repliers reads as an accusation to the people who did reply and got included by mistake.

Ten days out. Phone calls, and only phone calls, for whoever is left. This will be a small number and it will take an hour. It is the fastest hour in the whole process.

Assume nothing. Silence is not a no. It is usually a lost card.

Make replying take one tap

Declines matter too: they are what free up seats you can reallocate, and they are the difference between fourteen tables and thirteen.
