Business Outreach Notice

This notice is for businesses in the United States, such as wedding venues, vendors and planners, that Vows & Volts has emailed, or may email, to introduce its wedding planning platform. It explains what business information we hold, where it came from, why we wrote to you, and how to make us stop. If you are a couple, vendor or planner with an account, our Privacy Policy covers you instead.

1. What we hold about your business

• Your business name, the kind of business it is, and where it is: street address, city, state and postal code.
• Business contact details your business publishes: a business email address, a phone number, a website, and links to your social media profiles that appear on your own website.
• How many couples planning a wedding on Vows & Volts named your business as one of their vendors, if any did. We never tell you who they are.
• A record of the emails we sent to that address and any replies you sent back.

2. Where it came from

• Overture Maps Foundation places data, which is published for reuse under the CDLA Permissive 2.0 and Apache 2.0 licenses and compiles business listings from public sources.
• OpenStreetMap, © OpenStreetMap contributors, available under the Open Database License.
• Your own website, where it publishes contact details. We read a few pages at most, follow the site's robots.txt, identify ourselves in every request, and do not record an email address from a site that asks not to receive unsolicited email.
• Couples on Vows & Volts who listed your business as their vendor.

We do not buy contact lists, and we do not collect data from social media platforms or from Google Maps.

3. Why we wrote to you

To introduce Vows & Volts to businesses that serve weddings. A person at Vows & Volts chooses which businesses to contact and reads and approves every email before it is sent.

4. How we contact you

At most three emails to a business, spaced several business days apart, and none after you reply. Every email says it is a business introduction, names the real person who sent it, and includes our postal address and a way to unsubscribe. We do not track whether you open our emails or click anything in them.

5. How to make us stop

Use the unsubscribe link at the bottom of any of our emails, or reply "unsubscribe". Either works immediately, which is sooner than the ten business days US law allows. We then keep your email address on a do-not-contact list so that we never write to it again, even if your business appears in a future data source. That list is used only to prevent contact.

6. Who handles this information

• Our email provider (Google Workspace) sends our emails and receives your replies.
• To help draft an email, our AI provider (Anthropic) receives your business name, the kind of business it is, and its city and state. It never receives your email address or phone number, and a person reviews every draft.
• Our hosting and database providers store these records on our behalf.

We do not sell this information and do not share it for advertising.

7. How long we keep it

The emails and replies of an outreach conversation are deleted eighteen months after the conversation ends. The do-not-contact list is kept indefinitely, because deleting it would let an opt-out expire. Business listing details are kept until you ask us to delete them.

8. Your choices

You can ask for a copy of the information we hold about your business, ask us to correct it, or ask us to delete it, through our contact page at vowsandvolts.com/contact. If you are in California, see the California section of our Privacy Policy: we do not sell or share personal information.

9. Changes

When this notice changes, we publish a new version here and keep a record of earlier ones.
